By creating an account, accessing, or using the Adventure Foundry platform ("Service"), you agree to be bound by these Terms of Service ("Terms") and our Privacy Policy. If you do not agree to these Terms, you may not use the Service.
Adventure Foundry ("we," "our," or "us") operates a platform that connects tabletop gaming venues, Game Masters, and players for the purpose of organizing, booking, and managing in-person tabletop gaming events.
You must be at least 13 years of age to create an account on the Platform. Users under the age of 18 ("Minors") are subject to additional safety restrictions, including but not limited to restrictions on direct messaging and certain community features. Minors may require parental or guardian consent to participate in certain activities or events.
You agree to provide accurate, current, and complete information when creating your account. You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. You must notify us immediately of any unauthorized use of your account.
The Platform supports multiple account types, including Player accounts, GM accounts, and Venue accounts. Each account type has different features, permissions, and responsibilities as described in these Terms. A single individual may hold multiple account types.
You may close your account at any time by contacting us. You remain responsible for any outstanding obligations, including unpaid fees or pending bookings, at the time of closure.
Sessions hosted at a private residence (Location Type "Home or Private Residence") are restricted to participants aged 18 or older who have completed government-ID verification through Stripe Identity (document + selfie match). Both the GM and every player must be verified before the booking is confirmed. Players under 18 may continue to join sessions at verified venues and public spaces.
There is no "parent at the table" exception. Minors may not participate in or be at the table for home-hosted sessions even with parental consent, even when an adult parent or guardian is present, and even when the minor is a member of the host's household. Hosts who knowingly admit a minor to a home-hosted session will be permanently removed from the Platform. To play together as a family, please book a session at a verified venue that supports family or all-ages programming.
GMs who enable home hosting on their account agree to the additional obligations in the Independent GM Agreement, including payment of the one-time home-hosting verification fee, completion of mandatory house-rules disclosure (pets, smoking, alcohol, accessibility, others present in the home, minors-presence policy), and the no-minors rule above.
Adventure Foundry is a technology platform that facilitates connections between Venues, GMs, and Players. We are not a Venue, event organizer, employer, or agent. We do not own or operate any gaming venue, nor do we employ any GM. The Platform provides tools for event management, booking, payments, and discovery, but we do not control the quality, safety, legality, or suitability of any Event listed on the Platform.
We strive to maintain continuous availability of the Platform but do not guarantee uninterrupted or error-free service. We may modify, suspend, or discontinue any part of the Platform at any time with reasonable notice where possible.
The Platform supports a range of tabletop gaming activities including, but not limited to, tabletop role-playing games (TTRPGs), board games, card games, miniature wargames, and related events such as paint nights and learn-to-play sessions.
Venues that use the Platform agree to:
(a) Accurately represent their business, facilities, events, and services on the Platform.
(b) Honor all bookings made through the Platform and fulfill event commitments as described in their listings.
(c) Maintain all required business licenses, permits, and insurance for their operations.
(d) Provide safe, legal, and accessible gaming environments for all attendees.
(e) Comply with all applicable laws and regulations, including health and safety, accessibility, and consumer protection requirements.
(f) Set clear and fair cancellation and refund policies for their events and communicate those policies to Players through the Platform.
(g) Handle personal data of Players in compliance with applicable privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA).
Venues access the Platform through subscription plans as described on our Pricing page. Subscription fees, features, and transaction fee rates vary by plan and may be updated from time to time. Material changes to pricing will be communicated to active subscribers in advance. Venues on plans with locked pricing terms, including Founding Partners with a signed agreement, will have their specific rates honored as set out in their respective agreements.
Venues are solely responsible for the accuracy and legality of their event listings, descriptions, images, and pricing. We reserve the right to remove Venue Content that violates these Terms, is fraudulent, or is otherwise harmful.
Players who use the Platform agree to:
(a) Provide accurate information when creating accounts and making bookings.
(b) Arrive on time for booked Events and adhere to the rules and policies of the hosting Venue.
(c) Treat Venue staff, GMs, and other Players with respect.
(d) Review and understand the cancellation and refund policies of any Event before booking.
(e) Not engage in disruptive, abusive, or harmful behavior at Events or on the Platform.
When a Player books an Event through the Platform, they enter into a direct arrangement with the hosting Venue or GM. Adventure Foundry facilitates this booking but is not a party to the arrangement between the Player and the Venue or GM.
Player accounts are free. Certain premium features or services may require payment in the future, which will be clearly disclosed before any charges are incurred.
Game Masters who use the Platform agree to:
(a) Accurately represent their experience, skills, and the content of their sessions.
(b) Fulfill session commitments as described in their event listings.
(c) Provide a welcoming, inclusive, and safe gaming experience for all participants.
(d) Communicate any session-specific requirements (experience level, content warnings, materials needed) clearly in their listings.
The Platform includes a reputation and rewards system for GMs ("GM Bounty System"). GMs earn Bounty Marks based on the sessions they run — not on player feedback, and not on any star or numeric rating (the Platform has none). GM Bounty profiles are public and visible to Venues and Players. After a session, Players may leave written feedback, which is a private growth tool shared with the GM and never affects a GM's Bounty Marks or ranking. Adventure Foundry does not verify or guarantee the accuracy of feedback but reserves the right to remove content that violates these Terms.
GMs using the Platform are independent individuals, not employees, contractors, or agents of Adventure Foundry. The Platform provides tools for GMs to connect with Venues and Players, but we do not direct, supervise, or control how GMs run their sessions.
All financial transactions on the Platform are processed through Stripe, our third-party payment processor. By using the Platform to make or receive payments, you agree to be bound by Stripe's terms of service in addition to these Terms. Venue payment accounts are established through Stripe Connect, and payments flow directly to the Venue's connected Stripe account.
Adventure Foundry charges platform transaction fees on paid Events processed through the Service. Fee rates vary by subscription plan and are published on our Pricing page. Platform fees are Adventure Foundry's service charge and are separate from Stripe's standard payment processing fees, which Stripe charges directly. Platform fees are automatically deducted from transaction proceeds before funds are deposited to the Venue's account.
Venue subscriptions are billed on a recurring monthly basis. Subscriptions automatically renew unless cancelled before the next billing date. You may cancel your subscription at any time, and cancellation takes effect at the end of the current billing period. No partial refunds are provided for unused portions of a billing period.
You are responsible for determining and paying all applicable taxes on your transactions. Because payments are processed as direct charges on the Venue's or GM's connected Stripe account, the Venue or GM receiving payment is the merchant of record and is solely responsible for charging, collecting, and remitting any applicable sales taxes. Where a Venue or GM has enabled sales-tax collection (by registering for Stripe Tax on their own connected account), tax is calculated and added at checkout via Stripe Tax and is subject to Stripe's tax processing terms; Adventure Foundry does not collect, hold, or remit those taxes on your behalf.
24-hour cancellation window. Self-service cancellation through the platform — by Players, Bookers, GMs, or Venues — is available up to 24 hours before the scheduled session start time. Within 24 hours of start time (and once the session has started or ended), self-service cancellation is locked for both parties. Players or Bookers seeking a refund in this window should first contact the hosting Venue or GM, who may grant a refund at their discretion or escalate to Adventure Foundry support; GMs and Venues seeking to cancel a session within the window must contact Adventure Foundry support so the platform can protect the paying Players. Refunds beyond a Stripe payment's standard dispute window may be limited by Stripe.
Beyond the 24-hour platform-wide rule above, additional refund and cancellation policies for individual Events are set by the hosting Venue or GM and must be clearly communicated to Players before booking. Adventure Foundry is not responsible for refund disputes between Venues, GMs, and Players. If a Venue or GM fails to fulfill an Event after payment has been collected, we will work in good faith to facilitate a resolution, but our ability to process refunds may be limited by the payment processor's policies and timelines.
Venues and GMs are responsible for handling chargeback disputes related to their Events. Excessive chargebacks may result in account review, suspension, or termination. Adventure Foundry reserves the right to withhold funds in the event of a chargeback dispute until the dispute is resolved.
All users of the Platform are expected to maintain a respectful, inclusive, and safe environment. The following conduct is prohibited:
(a) Harassment, bullying, intimidation, or threats directed at any user.
(b) Hate speech, discrimination, or content promoting violence against any individual or group based on race, ethnicity, gender, sexual orientation, religion, disability, or any other protected characteristic.
(c) Sexual harassment or sharing sexually explicit content on the Platform.
(d) Fraudulent activity, including fake reviews, fake bookings, or misrepresentation of identity.
(e) Illegal activity of any kind.
(f) Spam, phishing, or distribution of malware.
(g) Scraping, data mining, or unauthorized automated access to the Platform.
We are committed to the safety of minors on the Platform. Minor accounts have restricted features, including limitations on direct messaging. Events involving minors may be subject to additional requirements as set by the hosting Venue. We encourage Venues to implement appropriate safeguards when hosting Events that include minors.
Users may report violations of these Terms or concerning behavior through the Platform's reporting tools or by contacting us directly. We will review reports and take appropriate action, which may include content removal, account warnings, suspension, or termination.
We reserve the right to investigate and take action on any violation of these Terms at our sole discretion. Actions may include warnings, content removal, temporary suspension, or permanent termination of accounts. We are not obligated to provide advance notice before taking enforcement action in cases involving safety concerns, fraud, or illegal activity.
The Platform, including its design, features, functionality, code, logos, trademarks, and all related content, is owned by Adventure Foundry and is protected by Canadian and international copyright, trademark, and intellectual property laws. You may not copy, modify, distribute, sell, or create derivative works based on our intellectual property without our written consent.
You retain ownership of Content you upload to the Platform, including event descriptions, images, reviews, and profile information. By uploading Content, you grant Adventure Foundry a worldwide, non-exclusive, royalty-free, sublicensable license to use, reproduce, modify, display, and distribute such Content solely for the purpose of operating, promoting, and improving the Platform. This license continues for as long as your Content remains on the Platform and for a reasonable period after removal to account for caching and backups.
You may not upload Content that infringes the intellectual property rights of others, is false or misleading, violates any law, or otherwise violates these Terms. We reserve the right to remove any Content that violates these Terms without notice.
The Platform is provided on an "as is" and "as available" basis without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the Platform will be uninterrupted, error-free, secure, or free of harmful components.
Adventure Foundry does not endorse, guarantee, or assume responsibility for any Event, Venue, GM, or Player on the Platform. We do not verify the qualifications of GMs, the condition of Venue facilities, or the accuracy of event descriptions. Participation in Events is at your own risk.
To the maximum extent permitted by law, Adventure Foundry and its officers, directors, employees, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of profits, data, use, or goodwill, arising out of or in connection with your use of the Platform. Our total aggregate liability for all claims arising out of or related to these Terms or the Platform shall not exceed the greater of (a) the amount you have paid to Adventure Foundry in the twelve (12) months preceding the claim, or (b) one hundred Canadian dollars ($100 CAD).
You agree to indemnify, defend, and hold harmless Adventure Foundry and its officers, directors, employees, and agents from any claims, damages, losses, liabilities, and expenses (including reasonable legal fees) arising from your use of the Platform, your violation of these Terms, your violation of any rights of third parties, or Content you upload to the Platform.
Your use of the Platform is also governed by our Privacy Policy, which describes how we collect, use, disclose, and protect your personal information in compliance with PIPEDA and other applicable Canadian privacy laws. By using the Platform, you consent to our collection and use of your information as described in the Privacy Policy.
You may terminate your account at any time by contacting us at the email address listed below. You remain responsible for any outstanding obligations, including unpaid fees, pending bookings, or unresolved disputes at the time of termination.
We may suspend or terminate your access to the Platform at our discretion for violation of these Terms, fraudulent or illegal activity, non-payment of fees, or any other reason we deem appropriate. We will provide notice where reasonably practicable, except in cases involving safety, fraud, or legal requirements.
Upon termination, your right to use the Platform ends immediately. We may delete your account data in accordance with our Privacy Policy and data retention practices. Sections 8 (Payments), 10 (Intellectual Property), 11 (Disclaimers and Limitation of Liability), 12 (Privacy), and 14 (Governing Law) survive termination.
These Terms are governed by and construed in accordance with the laws of the Province of Alberta and the federal laws of Canada applicable therein, without regard to conflict of law principles.
You agree to submit to the exclusive jurisdiction of the courts located in Edmonton, Alberta, Canada for the resolution of any disputes arising out of or related to these Terms or the Platform.
Before initiating any formal legal proceeding, you agree to first contact us to attempt to resolve the dispute informally. We will work in good faith to resolve disputes amicably within thirty (30) days of receiving notice.
To the maximum extent permitted by applicable law, you agree to resolve disputes with Adventure Foundry on an individual basis and waive the right to participate in class action lawsuits or class-wide arbitration.
These Terms, together with our Privacy Policy, Cookie Policy, and any signed agreements (including Founding Partner Agreements), constitute the entire agreement between you and Adventure Foundry regarding the Platform.
We may modify these Terms at any time by posting the updated Terms on the Platform with a revised "Last Updated" date. We will notify active Venue subscribers of material changes via email at least thirty (30) days in advance. Your continued use of the Platform after changes take effect constitutes your acceptance of the revised Terms.
If any provision of these Terms is found invalid or unenforceable by a court of competent jurisdiction, the remaining provisions remain in full force and effect.
Our failure to enforce any right or provision of these Terms does not constitute a waiver of that right or provision.
You may not assign or transfer your rights or obligations under these Terms without our prior written consent. We may assign these Terms to any successor, affiliate, or acquirer of our business.
We shall not be liable for any delay or failure to perform our obligations under these Terms caused by circumstances beyond our reasonable control, including but not limited to natural disasters, pandemics, government actions, internet outages, or third-party service failures.
These Terms are drafted in English. In the event of any conflict between an English version and any translation, the English version shall prevail.
Founding Partners who have entered into a separate signed Founding Partner Agreement with Adventure Foundry are subject to the additional terms and pricing guarantees set out in that agreement. In the event of a conflict between these Terms and a signed Founding Partner Agreement, the Founding Partner Agreement shall prevail with respect to the specific terms covered therein.
